This is how to do
RACE DAY REGISTRATION
(at bottom of this page is what you must tell you
volunteers working registration tables)
PRE-REGISTERED RUNNERS

For runners who register before race day.
** Make sure all pre-registered runners
are assigned a bib number before race day and have the assigned bib number
included in the printed list of pre-registered runners.
** Do not assigned the bib number for pre-registered runner on race day because it will slow down
pre-registration.
Have table with printed list of pre-registered runners (in alpha seq by last
name). The list must also contain the runner number already assigned to the
runner.
The table should also have the runner numbers already assigned
to pre-registered runners, pins, t-shirts and any course maps.
When a runner comes to pick up their number, the volunteer looks at the list, finds the number that was assigned to the runner and gives the runner that runner number.
If giving more then one runner number out to a person ( for family for example)
the volunteer
should write each runner first name on the runner number so the right runner
wears the right number.
The volunteer should also remind the runner NOT to pull the tag with bar codes off the bottom
of the runner number (called Pull Tag),
that they should NOT put pins into the pull tags (just in the number itself),
and that the runner should wear the number in the front.
Even if chips are being used, pull tags should not be removed.
If the person claims they
pre-registered, but they are NOT on the pre-registered list, you can have them
fill out registration form as if they are a new runner,
giving them a new bib, but don't charge them a registration fee. Write the bib #
you gave them on the race application and write on the
race application
that they claim they pre-registered, and check this out after
the race. Make sure the person doing
data entry on the computer get this registration form.
If the person left their bib at home or
lost it - have them fill out a form registration again as if they are a
new runner,
giving them a new bib, but don't charge them a registration fee. Write the bib #
you gave them on the race application and write on the
race application what the problem was.
Make sure the person doing data entry on the computer get this registration
form.
The runner can get the pins they need by themselves from the table. No need to have your volunteers take the time counting and handing out pins.
RACE DAY REGISTRATION
For runners who register on race day

Have a separate table with blank applications and plenty of pens that work, plus course maps

Have a table where runners sign up. At that table have trained volunteers to
know entry fee, time of race, etc.
Make sure they have singles available to provide change.
At this table have runner numbers and plenty of pins.
The runner numbers are handed out to the runner by the volunteer after the
volunteer collects the race application,
verify application is filled out fully ( need age and gender filled out ), race
application is signed (by adult over 18),
and collects payment for the race. If giving more then one runner number out to
a person ( for family for example) the volunteer
should write each runner first name on the runner number so the right runner
wears the right number.
IMPORTANT - the bib number that the
volunteer gives to the runner must be written on the race application ( and
written clearly)
and that race application is then giving to BEST
Racing so they can enter into their computer.
You should have a separate volunteer bring the completed race applications from
the registration area to the BEST Racing vehicle.
** There is no need for you to enter anything into your computer or write runner
info down anywhere, on race day. After the race we will give
back all the race applications. You should hold on to these applications with
signed waiver in case needed in future.
The volunteer should also remind the runner NOT to pull the tag off the bottom
of the runner number (called Pull Tag),
that they should NOT put pins into the pull tags (just in the number itself),
and that the runner should wear the number in the front.
If this is a CHIP timed race - the
volunteer should remind the runner to remove any chips from any previous race.
They should also remind runner not to fold the bibs because it might damage the
chips.
The runner can get the pins they need by themselves from the table. There is no need for your volunteers to take the time counting and handing out the pins.

IMPORTANT ** First thing in the morning right before registration opens
YOU
should TELL all your volunteers working at registration desk the following

- all runners must wear bibs and must wear them in front not under any garment (sweatshirts, raincoats, etc)
- any changes to pre-registration runners (like someone runner for someone else or providing age) , those changes must be provided to the person doing entry on on computer.
- give the right bib to the right person. Write at least the first name of the person on the bib, especially if they are giving out a few to one person collecting them others.
- if runner NOT on pre-registration list, sign them as if they are a new runner ( filling out everything on registration along with signature) and don't charge them. Make a note of form that payment is in the mail .
- tell all volunteers working registration, to let any new person who starts helping later, what they should be done at registration desk.
YOU SHOULD Tell volunteers working race day registration table on the day of the race
- all runners must wear bibs and must wear them in front not under any garment (sweatshirts, raincoats, etc)
- make sure race day application were printed clearly, with gender and age
( age can be left out if they do not want to provide) filled out, and
signed. And -
VERY IMPORTANT - the bib #
they give runner must be written on the race application.
- get all race day registration forms to the person doing entry on on computer - don't wait till right before race starts before providing application to data person computer person .
- get all pre-race day registration changes AND additions to the person doing entry on on computer - don't wait till right before race starts before providing application to data person computer person .
- tell all volunteers working registration ( race day registration AND pre-race day registration volunteers) , to let any new person who starts helping later, what they should be done at registration desk.
